The Receptionist role is paramount, as you are the first point of contact and responsible for establishing a welcoming, professional, and confidential environment for all clients, visitors, and firm members.

We seek a highly articulate, organized, and polished professional who takes pride in managing a seamless front office operation.


Required Qualifications & Experience

Essential Qualifications

  • Educational Background: A high school diploma or equivalent is required. A Bachelor’s degree is preferred.
  • Work Experience: A minimum of 1 to 3 years of experience in a client-facing role, such as a Receptionist, Front Office Executive, or Guest Relations associate, preferably within a law firm, corporate office, or luxury service environment.
  • Communication Skills: Exceptional verbal and telephonic communication skills in English and Hindi/Marathi. Must possess a clear, professional, and friendly phone demeanor.
  • Technical Proficiency: Competent use of multi-line phone systems, and basic proficiency in Microsoft Office (Word, Excel, Outlook) for scheduling and correspondence.

  • Professional Presence: Impeccable grooming and professional presentation are essential.
  • Discretion & Confidentiality: Proven ability to handle client queries and internal information with the utmost discretion, a mandatory requirement in a legal setting.
  • Organizational Skills: Excellent multi-tasking and organizational abilities to manage a busy reception area, incoming calls, and administrative tasks simultaneously.
  • Client Service Focus: A genuine commitment to providing high-quality client service and making visitors feel comfortable.

Key Responsibilities

  • Client Management: Serve as the firm’s welcoming first point of contact, greeting and directing all clients and visitors professionally and courteously.
  • Communication Hub: Answer, screen, and direct high-volume incoming phone calls and inquiries efficiently, taking detailed messages when necessary.
  • Logistics & Scheduling: Manage the scheduling of meeting rooms, ensuring they are prepared before and cleaned after client meetings. Assist with basic calendar scheduling for administrative staff.
  • Mail & Courier: Handle all incoming and outgoing mail, packages, and couriers, accurately logging their receipt and dispatch.
  • Office Administration: Maintain the tidiness and professional appearance of the reception area and common areas. Assist the Office Administrator with basic data entry and filing.
