The Opportunity
We seek a proactive and exceptionally organized Office Administrator / Executive Assistant who will be the central pillar of our Mumbai office. This role demands excellent organizational skills, confidentiality, and the ability to manage multiple priorities in a dynamic, professional legal environment.
Required Qualifications & Experience
Essential Qualifications
- Educational Background: A Bachelor’s degree in any field (e.g., B.A., B.Com, B.B.A.). A background in business administration or management is a plus.
- Work Experience: A minimum of 2 to 4 years of professional experience in an administrative, executive assistant, or office management role, preferably within a law firm or professional services environment.
- Technical Proficiency: Advanced knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) for correspondence, data tracking, and presentation preparation.
- Communication: Fluent and articulate written and verbal English communication skills.
Preferred Skills & Attributes
- Organizational Acumen: Demonstrated experience managing schedules, travel, and complex filing systems (both physical and digital).
- Confidentiality: Proven track record of handling sensitive and confidential information with absolute discretion.
- Proactiveness: Ability to anticipate the needs of firm leadership and take initiative to solve administrative problems independently.
- Financial Literacy: Basic knowledge of vendor invoice processing, petty cash management, and expense report generation.
Key Responsibilities
1. Executive & Administrative Support
- Manage complex calendars, scheduling meetings, and coordinating court appearances for firm leadership.
- Arrange all domestic and international travel logistics, including flights, accommodation, and ground transportation.
- Handle all incoming and outgoing professional correspondence (emails, letters, courier).
2. Office Management
- Oversee daily office operations, ensuring supplies are stocked, equipment is maintained, and the office environment remains professional.
- Manage vendor relations, ensuring timely and accurate payment of utility bills and service provider invoices.
- Maintain highly organized physical and digital filing systems for administrative and client matters (non-legal documents).
3. Financial Coordination
- Process and track firm expenses and expense reports for reimbursement.
- Assist in basic billing preparation and time-tracking data entry.
